Safe Use of Email – Key Principles

In order to ensure the security of personal data and information processed at the University of Lodz, we would like to remind you of the basic principles of safe use of email when performing your official duties.

Check Recipients Before Sending a Message

  • Before sending any message, make sure that all email addresses entered in the “To”, “Cc” and “Bcc” fields are correct.
  • Particular care should be taken when using the auto-complete function, which may indicate an incorrect recipient. It is recommended to verify the list of recipients once again right before sending the message.

Secure Documents Containing Personal Data

  • Documents containing personal data should be sent as password-protected files.
  • The password should be communicated to the recipient via a different communication channel than email, e.g. through Microsoft Teams or by phone.

Compliance with these principles helps reduce the risk of accidental disclosure of personal data and supports the fulfilment of obligations arising from personal data protection regulations.
